In this privacy policy, we inform you about the key aspects of data processing in connection with our website and services, in accordance with the revised Swiss Federal Act on Data Protection (revFADP) and — where applicable — the EU General Data Protection Regulation (GDPR).

We process personal data from talents (users of our platform) and, where applicable, from company representatives. We process the following categories of data in particular:

  • Registration and contact data: First and last name, email address, login credentials.
  • Application and document data: CVs, cover letters, references, and other application documents, as well as results from personality tests or assessments.
  • Matching and profiling data: Match scores, recommendations, or categorisations calculated on the basis of your profile information and test results.
  • Usage data: Log data (IP address, timestamps, browser type), information about pages visited, and cookie data.
  • Communication data: Messages sent via our internal messaging system, emails, or chat enquiries.
  • Optional additional data sources: Data provided via third-party logins (e.g. LinkedIn).

3. Purposes of Processing

The primary purpose is to provide and continuously improve our AI-powered matching and recruitment platform. We use your data for the following purposes in particular:

  • Matching and placement: Finding the best possible match between talents and suitable job opportunities.
  • Application management: Forwarding documents, coordinating interviews, and transmitting feedback.
  • Communication: Notifications, responses to support enquiries, and service updates.
  • Analysis and product improvement: Evaluating user behaviour and further developing matching algorithms.
  • AI-powered analysis: Automated analysis of application documents (see Section 4).
  • Personalisation: Displaying relevant content and job listings.
  • Talent pool (optional): Inclusion in the talent pool with your explicit consent.
  • Contract performance and customer service: Providing platform features and customer support.
  • Legal obligations and legitimate interests: Compliance with statutory requirements.

4. Use of AI Tools and Language Models (LLMs)

TriLink uses artificial intelligence and modern language models (LLMs) to make the recruitment process more efficient.

  • Profile and text analysis: Automatic extraction of key qualifications from your documents.
  • Personality test evaluation: Partly automated evaluation by algorithms.
  • Recruiter support: AI-generated match scores as decision-support tools — final decisions are always made by humans.
  • Continuous improvement: Use of machine learning to optimise matching algorithms.

External AI services are contractually integrated as data processors. When third-party providers perform analyses, data may be transferred to servers abroad (e.g. the USA).

5. Legal Bases for Processing

TriLink processes personal data only with the consent of users.

  • Contract performance: Processing necessary to provide platform functions.
  • Legitimate interests: Internal analyses, security measures, and limited data sharing.
  • Consent: Processing based on your voluntary agreement, which may be withdrawn at any time.
  • Legal obligation: Compliance with statutory retention and disclosure requirements.

6. Disclosure to Third Parties and Data Processors

Your data is treated as confidential and only disclosed where necessary, with your consent, or where legally permitted.

  • Partner companies: Sharing your profile with companies you apply to or with whom a match is made.
  • Data processors: IT infrastructure partners, email service providers, and AI third-party providers.
  • Other recipients: Legal advisors, courts, authorities, or successors in the event of corporate restructuring.

7. Retention Periods and Deletion

We do not store your data longer than necessary.

  • Active account: Profile data is retained during active use and deleted upon request.
  • Inactive profiles: Accounts may be deactivated after extended inactivity, with prior notice.
  • Application data: Deleted or anonymised at the latest a few months after the process concludes.
  • Communication and support data: Generally up to 2 years; business correspondence up to 10 years.
  • Log and usage data: A few weeks to months, then automatically deleted or anonymised.

8. Rights of Data Subjects

As a user of our platform, you have the following rights:

  • Right of access: What data we have stored about you.
  • Right to rectification: Correction of inaccurate or incomplete data.
  • Right to erasure: Deletion of your data where the legal conditions are met.
  • Right to restriction: Temporary restriction of processing under certain circumstances.
  • Right to object: Objection to processing based on legitimate interests.
  • Withdrawal of consent: Possible at any time with effect for the future.
